How the Service Works

  • One call to Conference Search with details of your requirements will enable us to commence a search.
  • Using our considerable venue knowledge and experience we will shortlist the best venues to suit your individual needs.
  • These venues will be presented to you along with room plans, brochures, detailed costs and venue information.
  • Through our contacts in the industry and the significant amount of business placed on behalf of hundreds of different clients, we will negotiate the best rates available on your behalf.
  • We can arrange site inspections for you, (which can be accompanied, if preferred) and provide suggestions for external gala dinner venues, social programmes, etc.
  • If you would like to confirm one of the venues, we will draw up an outline confirmation, showing dates, rates, etc.; a copy of which is sent to the venue and a copy to yourself.
  • This confirmation document advises that it is the responsibility of the venue to issue a contract and provide terms and conditions to you and that cancellation charges may apply. All charges are paid by you directly to the venue (unless otherwise agreed).
  • You will be in direct contact with the venue and nearer the date you will tie up more detailed arrangements such as timings, menu requirements, accurate numbers etc. We will be available for any assistance should you require this.
  • After the event, you will be invoiced by the venue, which you will settle directly with the venue (unless otherwise agreed).
  • Our service is without charge and we receive the normal agent’s commission paid by the venue regardless of the discounts which have been offered to you. Your savings can also be counted in terms of time and cost in contacting venues for availability leaving you free to concentrate on the organisation of the event and other core activities.
