Commonwealth War Graves Commission</b></span></h1>
<p><span class="write"><b>Client<br>
</b></span>The Commonwealth War Graves Commission is a multi-national
organisation funded by UK and Commonwealth governments to
maintain graves of soldiers killed in the 20th Century.</p>
<p><span class="write"><b>Problem<br>
</b></span>The Commonwealth War Graves Commission UK Area
office had thousands of Word Perfect 5.1 (for DOS) documents
holding details of all the graves in UK cemeteries, on an
aging stand-alone PC. In order to update the information
they had to locate the correct Word Perfect document, and
enter or amend the grave details. This would often require
manually repaginating the document or renumbering later graves.
The updated document was then printed twice, with one copy
archived and another given to the District Inspector. As
can be imagined this was very laborious. The Commonwealth
War Graves Commission wanted the information converted into
a database format, and made available to all their staff – including
District Inspectors who do not have LAN access.</p>
<p><span class="write"><b>Solution<br>
</b></span>The requirement split into two halves, converting
the data out of word processed documents and into a database;
and making the database available to the users.</p>
<p><em>Microsoft Word</em> was selected as the tool for converting
the data, as it had reasonable facilities for importing Word
Perfect documents, and its Visual Basic programming language
was sophisticated enough to allow an intelligent program
to be written to automate the import, clean and standardise
the data, and finally write it to an Access database.
The
import program took over 12 hours to run, and successfully
imported all 13,000 cemeteries and 170,000 graves into
the database.</p>
<p>To make the data available to CWGC staff based all over
the UK the Access database was transferred to a firewalled
Windows 2000 Advanced Server web server, and an <em>Active
Server Pages</em> (.ASP) application was written to allow the information
to be searched, viewed, updated and reported on by all authorised
personnel, whether staff in UK Area’s Leamington office,
or a District Inspector based in Scotland with only Internet
access.<br>
</p>
<p><span class="write"><b>Result<br>
</b></span>The .ASP application has been totally reliable
and has given the users instant online access to data that
was previously almost inaccessible. This has vastly helped
the District Inspectors do their job, and has reduced manpower
requirement in the UK Area office. The success of this project
has given the management confidence that further system improvements
can be made cost effectively, and they are now adding online
facilities for managing replacement headstones and graves
maintenance.</p>
