Just following on from today.
Thank you very much for your time today under the circumstances and nice to
meet you.
As discussed if you can give me a couple of days to go through the
timesheets and invoicing I’ll clearly show all workings and issue a credit
note to the sum of what is owed.
If you are otherwise happy with Sarah’s work I think in this instant then it
was wise to give her the benefit of the doubt. Its always difficult in this
type of case as we know employees can be very crafty.
I think that she was shocked and did show real surprise.
We will look at our process better so this does not happen in the future but
it really does boil down to what hours Sarah puts on the timesheet, so I’ll
keep a constant visual on that.
Hopefully this will not effect any future relationship between us and look
forward to dealing with you in future under better circumstances.

Hi Clare,
I’ve gone over Sarah’s Hours week by week and it have highlighted all
discrepancies with respect to the hours that you have said she has booked
holiday. All other weeks are ok, including the summer shutdown weeks.
I have attached a spreadsheet of all the weeks where the hours do not tie up
with your holiday accrual.
Firstly we need to know if she actually had the holiday off and if so why
did she not actually put it on the timesheets.
All of the timesheets add up to the hours as shown. I have attached the
timesheets for the weeks in question.
If it is ok I will call you tomorrow to discuss.
Please except my apologise for any billing errors but unfortunately we
follow the hours on the timesheets. Sarah may have an explanation for this
but the hours and timesheets are so random. Even one week has been crossed
out its hard to understand why they have not been put on, whilst in other
weeks the holidays have been clearly listed (as per example 8.4.18 and
4.11.18) which I have also attached. Sarah does know that holiday must be
highlighted on her timesheet.

does know that holiday must be highlighted on her =
