Dear Supplier,
Hope you are well, and Happy New Year from GRI.
GRI are required to submit the next round of data to the HMRC for the period
of 6th of October 19 to 5th of January 20.
Attached is the template you are required to complete and submit your data
on to GRI. Once complete protect the file using the password provided in a
separate email (to be sent by GRI shortly after this email), then save the
file as a standard Excel Workbook. Please return this form by email to
supplierrelations@msxi-euro.com <mailto:supplierrelations@msxi-euro.com>
The deadline for the return of your completed template is 24th of Jan. Any
submissions made after the deadline will not be sent to the HMRC.
Some advice and guidelines for completing the template.
* Clearly read and understand the instructions for each column – For example
many returns for the last period contained a ‘YES’ where only a ‘Y’ is
required, as well as ‘Female’ where only an ‘F’ is needed; another example
is the Date of Birth format.
* Be sure to complete all columns A – Y that apply, keeping in mind that
some fields are dependent on information input in various other areas.
* Ensure that the data is in the correct column, many returns were submitted
with data in the incorrect fields. This was especially common within the
address fields.
* Many columns require a letter character to be provided as a response, for
example column L worker engagement details; here you are required to submit
as A to F, depending on the key provided in the column header.

The HMRC website checks the data submitted by GRI for errors and provides
the ability to upload the document acknowledging these errors. Incorrectly
submitted data may incur a penalty charge from HMRC, and this will be passed
along to the supplier. As GRI do not check the data submitted by suppliers
on the template it is highly recommended that each supplier checks and
verifies the data before submission to GRI. Any submissions made after the
deadline will not be sent to the HMRC.
Please be aware that HMRC are auditing GRI in this instance, not your
company. Because GRI do not hold the data required by HMRC, we require our
supplier partners to provide us with this information.
There are still a small number of suppliers who refuse to provide this data
to GRI for submission to HMRC; this is of course a business decision to be
taken by each individual agency. Please be aware that it is the
understanding of GRI, based upon the advice provided by both our internal
and external legal teams, as the entity contracting directly with the end
client GRI are required to submit this information to HMRC; regardless of
whether this information has already been provided to HMRC by the agency
already. Any penalty charges incurred by GRI as a result of a supplier’s
non-submission of information will be the responsibility of the agency.
